We currently collect and process the following information:

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

•       Inform you of and efficiently manage the activities of the church

•       Secure Kingsburn Hall (CCTV)

•       Process employment and payroll of staff

•       Process financial gifts made to the church

•       Manage Kingsburn Hall bookings and payments

•       Maintain a safe environment for all staff, volunteers and guests to our meetings and Kingsburn Hall

We also receive personal information indirectly, from the following sources in the following scenarios:

•       Parents of children are asked to sign consent forms

•       Thirty One Eight are used to help fulfil our safeguarding requirements 

•       HMRC provide staff tax codes to maintain payroll

We use the information that you have given us for the day-to-day administration of the church. For example, pastoral care and oversight (including calls and visits), running regular and one-off meetings and events, preparation of ministry rotas, broadcasting services on YouTube, fulfilling our legal requirements when handling financial records, safeguarding of children and vulnerable adults, legally employing staff, renting our building (Kingsburn Hall) and any other activities reasonably expected to enable to efficient running of a local church.

We may share this information with:

•       Regulatory bodies – We may need to pass on information if required by law or by a regulatory body, for example, as part of a gift aid audit by HMRC or if asked for details by a law enforcement agency.

•       Third parties – Occasionally we may use third parties to carry out tasks on our behalf, such as managing our rotas or managing gift aid claims. These agents are bound by contract to protect your data and we remain responsible for their actions.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us using our contact details.

(b) We have a contractual obligation.

(c)  We have a legal obligation.

(e) We have a legitimate interest.

 

How we store your personal information 

Your information is securely stored. 

We keep financial information for 10 years.

We keep consent forms until the person reaches their 25th birthday, unless they are or have been used for any official enquiry.

We assume Consent or Legitimate interest has been withdrawn one year after someone is no longer in attendance at any SMFC event, unless attendance is not possible for reasons of ill health or anything else that will be considered on a case-by-case basis.

We will then dispose your information by deleting electronic and shredding paper files.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
